Job Description:
Malaria Consortium, an international non-profit organization based in Cambridge Heath, London, is seeking a State Administrative Officer to join their team in Yobe State, Nigeria. The organization specializes in controlling malaria and other communicable diseases, especially those affecting children under five, and provides technical assistance to community-based health initiatives.
Key Responsibilities:
Office Administration (35%)
- Manage daily administrative functions and office maintenance.
- Oversee office assets, utilities, and supplies.
- Maintain and update the office asset register.
- Provide monthly reports on administrative, procurement, and logistics activities.
- Set up and manage office filing systems.
- Ensure proper maintenance of IT equipment and office assets.
Procurement & Logistics (35%)
- Manage logistics for events, travel, and accommodation.
- Oversee procurement of office assets and vendor management in line with Malaria Consortium policies.
- Maintain updated vendor records and documentation.
- Negotiate with hotels, travel, and transport services.
- Supervise office drivers and review vehicle logs.
Programme Activities (30%)
- Coordinate internal and external meetings, workshops, and seminars.
- Compile participants’ lists during project events.
- Handle short-term consultant contracts in collaboration with the HR manager.
- Support field activities and ensure value-for-money procurement.
Qualifications and Requirements:
Essential:
- Bachelor’s Degree in Administration, Social Sciences, Project Management, or related fields.
- Minimum of 3 years of relevant experience, preferably within the INGO sector.
- Resident and work experience in Yobe State.
- Ability to work independently and within a team.
- Proficiency in Microsoft Office Suite.
- Strong communication, organizational, and analytical skills.
- Budget development and expense reporting experience.
Desirable:
- Passion for Malaria Consortium’s mission.
- Knowledge of database tools (MS Access).
- Team-building and representational skills.
