Main Responsibilities
As our new Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient day-to-day operations of the office. You’ll be supporting both management and staff through various administrative and clerical tasks.
1. General Office Administration
- Perform essential clerical duties such as data entry, filing, photocopying, and scanning documents
- Maintain accurate records and ensure all administrative processes run smoothly
2. Communication and Front-Desk Support
- Answer and direct phone calls courteously and efficiently
- Greet clients and visitors, ensuring a professional and welcoming experience
- Handle basic client inquiries or redirect to the appropriate department
3. Office Management
- Monitor and manage office supplies, reordering as needed to maintain stock
- Assist in maintaining a tidy and well-organized office environment
- Coordinate with vendors or suppliers for office needs
4. Scheduling and Calendar Management
- Support in arranging meetings, appointments, and staff schedules
- Ensure key appointments and deadlines are met through calendar coordination
5. Document Preparation and Software Use
- Create, format, and edit documents, reports, and presentations using Google Suite, Microsoft Office, or similar platforms
- Assist in preparing internal reports and maintaining administrative records
6. Basic Bookkeeping and Recordkeeping
- Support the finance team by performing basic bookkeeping tasks
- Use accounting software such as QuickBooks to manage entries and records
Qualifications and Skills
To be considered for this role, candidates should possess a mix of administrative skills, professionalism, and basic technical know-how.
1. Experience & Technical Competency
- Previous experience in an administrative or clerical role is highly desirable
- Familiarity with Google Suite or similar office software (Docs, Sheets, Gmail, Calendar)
- Proficient in data entry, basic reporting, and maintaining digital records
- Basic knowledge of QuickBooks or similar accounting software is a plus
2. Organizational & Communication Skills
- Exceptional organizational and multitasking abilities
- High attention to detail and the ability to prioritize tasks independently
- Excellent verbal and written communication skills
- Professional phone etiquette and a client-focused mindset
3. Preferred Qualifications
- GCSE or equivalent education (preferred)
- Minimum 1 year of administrative experience (preferred)
- Experience in customer service (preferred)
4. Additional Preferences
- Driving Licence (preferred but not essential)
- Proficiency in English (spoken and written)
